Cancellation Policy

1. How to cancel

All cancellations must be submitted in writing to sales@bushveldwebco.co.za. Verbal or WhatsApp cancellations are not accepted as formal notice. We will confirm receipt of your cancellation within 2 business days.

Your cancellation notice period begins on the date we confirm receipt of your written notice.

2. Cancelling an active project

If you wish to cancel a project that is currently in progress, the following applies:

• The initial deposit is non-refundable.
• You are liable for payment of all work completed up to the date of cancellation, calculated at our standard hourly rate or as a proportion of the agreed project fee.
• We will provide you with all completed work and assets in a handover package upon receipt of any outstanding payment.

We recommend discussing any concerns before cancelling — in many cases we can find a solution that works for both parties.

3. Monthly retainer services

Monthly maintenance and retainer agreements require 30 days written notice to cancel. Your service will continue until the end of the 30-day notice period.

Fees for the notice period are payable in full. We do not issue refunds for any portion of a paid month if you cancel mid-cycle.

After the notice period expires, all retainer work will cease. Any outstanding support tickets or requests at that point will be closed.

4. Hosting and domain cancellation

Hosting services require 30 days written notice. Your hosting will remain active until the end of the 30-day notice period.

Domain names registered through us can be transferred to your preferred registrar upon cancellation. You are responsible for initiating the transfer and ensuring it is completed before the notice period expires. We will provide all necessary transfer credentials.

Important: If you do not arrange a domain transfer before the end of the notice period, the domain may be released and become available for public registration. We are not liable for domain loss due to failure to arrange a timely transfer.

5. Paid advertising management

Paid ads management services require 30 days written notice. Active campaigns will be paused or handed over at the end of the notice period.

You retain full ownership of your advertising accounts at all times. Upon cancellation, we will remove our access and provide you with a full account summary and performance report.

Any pre-approved and disbursed ad spend is non-refundable as it is paid directly to the advertising platforms (Google, Meta, etc.) on your behalf.

6. Data and file handover

Upon cancellation and receipt of any outstanding payment, we will provide:

• A full export of your website files and database (where applicable).
• All design files and brand assets we created for your project.
• Domain transfer credentials if your domain is registered through us.
• Login credentials for any accounts we manage on your behalf.

Handover packages will be delivered within 10 business days of the cancellation effective date, provided all fees have been settled.

7. Outstanding fees on cancellation

All outstanding invoices become immediately due and payable upon notice of cancellation. We will not release project files, transfer domains, or remove access until your account balance is settled in full.

Accounts in arrears at the time of cancellation will be subject to the late payment terms set out in our Terms & Conditions.
